STEPS TO SCHEDULE YOUR ORAL PRELIMINARY EXAM

Select A GCR

If you are a thesis student, you must have a Graduate Council Representative (GCR) on your committee.  You can generate and print this list by going to the Graduate School website via this link: http://gradschool.oregonstate.edu/progress/graduate-committee. Under #3 of “Roles of Committee Members”, click on the online GCR list generation tool.  You will need to enter your ONID login and password to get to the request page. Once there you can request a list which will be ten names you can contact by phone/email until you find someone available to serve as your GCR. Contact the Graduate School at 541-737-4881 or graduate.school@oregonstate.edu if you need any assistance. If you are unable to find a GCR after going through all ten names, you can use the same method to request an additional list. The system will allow you to generate one list a day.  After you have identified a representative, you must return this list to the Graduate School, indicating the faculty member serving in the GCR role.

Schedule Event with EECS and the Graduate School
EECS: You need to schedule your event with the School of EECS at least two weeks before your event. Once you have established a date and time for the oral preliminary exam and all committee members have agreed to attend, complete the online Event Schedule form at http://eecs.oregonstate.edu/current-students/graduate/forms/event-schedule-form. There is a section on the form to paste the content of your abstract. Indicate if you need to reserve equipment on this form and include the title of your thesis. You will receive an email confirmation from the EECS office about your exam and the room it will be held. Then you need to schedule your exam with the Graduate School.

Graduate School: You need to schedule your event with the Graduate School no later than two weeks before your event. The Graduate School has their own web form for scheduling. Please go there and fill out their form with all your information (you do not need to attach an abstract or list your thesis title). When you submit the form, the Graduate School will audit your program of study. If you do not submit the form to the Graduate School, they will not let you hold your exam.

Program of Study
Be sure your program of study is complete and turned in before you schedule your oral preliminary exam. This form must be submitted before scheduling your oral preliminary exam. If you have already turned it in and changes have occurred since then, be sure to submit the Petition for Change in Program form before you schedule the exam with the Graduate School.

Program of Study
Be sure your program of study is complete and up to date. This must be submitted 15 weeks prior to the exam date for MS/MEng students. PhD students should have submitted this form before scheduling their oral preliminary exam. If changes have occurred since then, be sure to submit the Petition for Change in Program form before you schedule the exam with the Graduate School.

Diploma Application
Complete and submit the diploma application at least two weeks prior to your exam date. If you are not planning on attending commencement to receive your diploma in the spring or picking up your diploma (in person), you need to contact the Registrar’s Office to arrange for mailing the diploma.

Submitting Your Thesis
At least two weeks before exam date, submit the thesis copies to your committee including the GCR (check with your committee if they want electronic or paper copies of your thesis). Two weeks before your exam date, submit the pretext pages to the Graduate School for format corrections (see Graduate School page for submission deadline). If you have questions, please call the thesis editor at the Graduate School (541-737-1466).

Thesis Students
It is mandatory for thesis students to upload an electronic copy of their thesis to the Scholars Archive. All thesis students must submit their Electronic Thesis and Dissertation (ETD) Submission Approval form and thesis title page to the Graduate School. Dr. Bose will sign for the director. Bring your ETD form and thesis title page to the EECS Graduate Coordinator to get Dr. Bose’s signature. Non-thesis Students
If you are a Computer Science student completing a non-thesis MS degree, it is mandatory for you to submit an electronic copy of your non-thesis paper to the Scholars Archive administered by the Valley Library. Please follow this link: Theses, Dissertations, and Student Research Papers (EECS)

Exit Checklist
When you complete everything and are ready to leave campus, please fill out and submit the grad exit checklist to the EECS Graduate Coordinator: http://eecs.oregonstate.edu/current-students/graduate/forms/grad-exit-checklist.

Keys
Turn in your OSU keys to the key shop if you paid a deposit for a hard key. If you have a cubicle key, please leave it in the desk lock. Be sure your office space is left clean. Please check your KEC mailbox for any unclaimed mail.
